Despite all the research on what we need/want, but no one is building commercial products that meet all our needs and addresses the impediments of cost and dwindling staff.

Beals says that the ERM is not used for workflow, so they needed other tools, with a priority on project management and Excel proficiency. They use an internal listserv, UKSG Transfer, Trello (project management software), and a blog, to keep track of changes in eresources.

Other tools for professional productivity and collaboration: iPads with Remember the Milk or Evernote, Google spreadsheets (project portfolio management organization-wide), and LibGuides.

Bazeley stepped into the role of organizing eresources information in 2009, with no existing tool or hub, which gave her room to experiment. For documentation, they use PBWiki (good for version tracking, particularly to correct errors) with an embedded departmental Google calender. For communication, they use LibGuides for internal documents, and you can embed RSS, Google Docs, Yahoo Pipes aggregating RSS feeds, Google forms for eresource access issues, links to Google spreadsheets with usage data, etc.. For login information, they use KeePass Password Safe. Rather than claiming in the ILS, they’ve moved to using the claim checker tool from the subscription agent.

This weekend I went camping for the first time in about eight years. I’ve always liked the idea of camping much more than the reality of camping, as in my mind, weather conditions and insect populations don’t exist. It went better than I expected, and I even had fun. Not sure I’m up for more than one night, though. By the next morning I was ready for the indoors.

One of the things I brought along with me is the book Hamlet’s BlackBerry by William Powers. I’ve been reading it off-and-on since February, and I hoped that during the down times I could finish it up. There were a few of those moments, but not many. I ended up finishing it at home.

The book is one of the most fair arguments for dialing back online activity, or at least creating a space away from the distractions of the internet and focusing on being physically and mentally present, either alone or with other people. I haven’t gotten to the point where I feel pressure to be connected all the time, but I do miss it when I’m not. On the other hand, a part of me was looking forward to disconnecting this weekend, at least for the 24 hrs away from civilization, but I wasn’t quite sure if I was disappointed or relieved to discover I had cell service at the campground.

The Hamlet connection comes from a reference to “tables” in Shakespeare’s play. These were hot tech at the time, and reminded me of something like portable dry-erase boards. Hamlet makes some notes about the things that are bothering him, and feels relieved to get them out of his head and into a device that can store them for him until he his ready to do something with them. I feel the same way about my smart phone and the Remember the Milk app — no matter where I am or what I’m doing, I can usually take that thought that would quickly disappear and make a note about the thing I need to do.

I liked the idea of stepping away from the screens for a period of time. I thought that a 12 book challenge would be easy to complete in a year, but I’m not reading as much anymore, in part because I spend so much time on the computer when I’m at home. I need to start setting aside dedicated time at home that is not on the computer, and not just when I’m cooking, cleaning, or doing laundry.

CIL 2010: Productivity Tools

Check out the presentation wiki for a list of the tools and such. I’ll just note the ones I really like or other commentary I might have. They’ve grouped them into three categories: tasks, notetaking, and scheduling.

The presenters are using Poll Everywhere to get audience input on which category to focus on first, as well as asking for hands for which one. They started with Tasks.

Things is awesome, but Mac/iPhone only. Without a cloud-based interface, it’s not accessible by any other OS. Based on Getting Things Done, the application helps you organize tasks based on contexts.

Todoist is cloud-based task tool. I just started using it myself because I wanted something that could let me add sub-task to tasks.

Remember the Milk is also cloud-based, and like Todoist, it has a mobile interface. Unlike Todoist, it has apps for Blackberry and Android as well as iPhone. Tasks can also be added by SMS. One complaint I had was not being able to see a list of everything due today or overdue in the main web interface (can see it in Gmail), but now I know how to create a saved search that shows overdue tasks (dueBefore:today) and tasks due today (due:today).

The presenters have lots of scheduling tools to share. I’ve heard of only one of them, Schedule Once. The presenters are most excited about jiffle, which pulls your Goolge Calendar availability along with your own selection of available times, and allows the user to request a meeting through the site, but only for the available times. This is really useful for students scheduling personal appointments with instruction librarians. If you’re not using GCal, there is likely a tool that will allow you to sync your calendar with a GCal account.

Cozi integrates calendars, photos, widgets, journals, tasks, and is more geared towards groups or families. It might be more friendly for folks who are not comfortable with disparate, more complicated tools.

They don’t have many notetaking tools listed (Google Docs, Evernote, & wikis). More folks were interested in Evernote. Personally, I just haven’t found a good way to integrate Evernote into my life/work, and I’m not interested in paying for the premium features until I have a reason to use it regularly. I like using the journal feature of Outlook for taking work-related notes, and I rarely need to note things for personal stuff beyond adding them to a task.

productivity tools from MS and Google

I’ve been enjoying all the benefits of having Outlook as my primary work email and calendar tool for the past year. After three years of dealing with the disaster that is Novell GroupWise, it’s lovely to finally have a tool that does what I need it to do.

However, for my personal stuff, I am a big fan of Gmail and other Google tools, so I was a little sad to give up my Google Calendar, among other things. All that has changed in the past week now that I’ve discovered the GCal/Outlook syncing program. Right now, I have it only going from Outlook to GCal, but that may change in the future.

Another awesome tool that I’ve implemented this week is the Google Calendar gadget available from Google Labs. This puts my upcoming appointments in the sidebar of Gmail, and pings little reminders if I have Gmail open. Outlook takes care of this at work, and I’m loving having this functionality in my my non-work hours without having to maintain two separate calendars.

The other Google Labs gadget that is made a surprising impact on my productivity and organization is the Remember The Milk task management tool. I’ve been using RTM to keep track of my review assignments, but I hadn’t found a need for it for other to-do things since I use the Tasks feature of Outlook for work stuff. However, when my emails to personal address with things I needed to remember to do began to pile up and clutter my inbox, I decided it was time to implement a real to-do list. With the Gmail integration, it’s now all in one place, just like with my work stuff in Outlook.
